TITLE:                  Accounting Assistant

DEPARTMENT:  Income Accounting

amfAR, The Foundation for AIDS Research, is seeking an Accounting Assistant.

Enters income and constituent information data into Constituent Databases—Luminate CRM (Salesforce) and Raisers Edge (RE) as applicable. Prepare daily check deposits and notify other departments of incoming checks and wires. Process credit card charges for Fundraising. Generates a variety of correspondences to donors regarding gift acknowledgments.  Serves as backup for Income Coordinator in gift coding and other tasks as needed.


Codes and/or enters new donations into Constituent Databases in accordance with established policy and protocols, including review of proposed gift coding.

Notify other departments of incoming checks and wires. Downloads all daily bank & investment account statements and distributes them to the Accounting Staff. Flags any unusual transactions in the daily bank statements.

Processes credit card requests using a web-based application. 

Prepares Direct Mail donor acknowledgment letters once a week.  Distribute copies of checks for “In Memory/Honor” items handled by the Philanthropy department.

Updates contact info for Direct Mail donors in RE and Luminate CRM.

Prepares large transaction batches for import into RE (web giving).

Maintains file room in accordance to amfAR’s document retention policy, including Income Daily Banking Units (DBU), and Accounts Payable vendor and grant files. Scans documents for electronic storage for Bangkok office. Assists Controller in archiving older files for long-term storage.

Assists in gathering requested materials for annual financial and donor grant audits.

Assists with general office duties: opening/distributing mail, restocking office supplies.

Performs other duties as assigned.


Two years of college or equivalent experience, preferably in an accounting or data entry environment.  Demonstrated computer skills (Microsoft Office Word, Excel, Outlook email). Luminate CRM/Salesforce, or Raiser’s Edge Constituent Database experience preferred. Accurate data entry and good interpersonal skills.  Ability to work effectively with others at all levels of an organization.  Comfort with financial information.
