PRIMARY FUNCTIONS:
Responsible for directing all daily accounting and Salesforce NPSP input management functions. Directs monthly closings, management of the general ledger and its subsidiary systems, cash receipts, accounts and grants payable, fixed assets, and payroll, benefits and travel accounting. Directs international finance and accounting operations, and maintains and implements OMB A133 Federal audit requirements. Designs and implements financial systems to ensure effective record keeping, audit controls, and compliance to financial controls, policies and procedures. Maintains accuracy and integrity of data entry and reconciliations. Supervises, trains, and evaluates Accounting staff. Serves as alternate (to the CFO) Assistant Treasurer of the Foundation.
DUTIES and RESPONSIBILITIES:
Ensures cash receipts and other valuable assets are properly safeguarded, deposited, administered, reconciled and coded. Manages receipting information with other departments as appropriate.
Directs all disbursement activity ensuring requests are properly requisitioned, authorized, documented, coded and recorded. Directs the payroll processing function. Coordinates disbursements with department directors and staff as appropriate.
Directs data entry management of Salesforce NPSP system to ensure accuracy and consistency with protocols for gift and constituent data. Leads ongoing efforts to exploit Salesforce NPSP potential as comprehensive income accounting sub-module for MIP general ledger.
Interfaces with vendors and business partners for billing and receivables problem resolution and with donors regarding receipt and transfer of in-kind contributions.
Directs the preparation of monthly reconciliations of all balance sheet accounts and specific income statement accounts as required. Manages grants and awards schedules, including federal, and reconciliations with both internal accounting systems and grants administration database.
Ensures proper management and administration of non-financial assets including merchandise, and fixed assets.
Performs timely and accurate monthly and annual close of the general ledger and subsidiary systems. Manages the accounting software system and all subsidiary systems.
Maintains and assists in development and management of internal controls to ensure effective daily operations of the accounting function. Develops, prepares and maintains accounting department procedural documentation. Assists in development of internal financial reports and systems.
Directs the finance and accounting functions of international operations, and maintains banking, payroll, and other international consulting relationships.
Directs the conduct of the annual audit. Directs the preparation of audit and tax filing schedules. Oversees account analysis.
Maintains relationships with banking and auditing firms, service bureaus, and accounting software manufacturers.
Selects, organizes and manages a cohesive team-oriented accounting staff. Directly supervises Accounts Payable Supervisor, Income Accounting Supervisor and Payroll Accountant, and is generally responsible for performance and development of accounting staff who report to subordinates.
Maintains relationships with amfAR department heads, and coaches them in accounting policies and procedures. Maintains relationships with outside auditors and computer systems consultant to facilitate smooth department operations.
Serves as alternate of two Assistant Treasurers of the Foundation, with responsibility, under the
- the maintenance of all financial books and accounts,
- the depositing and disbursement of all funds,
- the authority to sign instruments of deposit, disbursement and related documents on behalf of the Corporation, and
- the presentation of the financial condition of the Corporation.
QUALIFICATIONS:
A Bachelor’s degree in Accounting and minimum five years’ experience in an accounting environment, preferably nonprofit required. Five years management experience required. CPA or equivalent experience, and knowledge of regulatory agency compliance policies and procedures, particularly federal preferred. Prior experience in international finance and accounting operations, and US and foreign government audit requirements. Thorough understanding of GAAP, and proficiency in Microsoft Office, Access, or similar. Familiarity with one or more computerized Accounting applications, preferably MIP Fund Accounting.

Salary Range: $125,000 to $175,000
