Philanthropy Coordinator
DEPARTMENT: Philanthropy
LOCATION: New York
PRIMARY FUNCTIONS:
Provide administrative and fundraising support for the Philanthropy team, handle donor inquiries and requests, and assist with the database needs of the entire Development department. Serve as liaison on behalf of the Development team to coordinate with the database administration and accounting departments in matters related to NPSP (Salesforce).
DUTIES and RESPONSIBILITIES:
- Work collaboratively with all members of the Philanthropy team, including major gifts, institutional, corporate, direct response and planned giving, and cross-departmentally with the Special Events and Public Information teams.
- Handle incoming donor calls and emails and assist with processing donations, information changes, and other requests.
- Oversee peer to peer and social fundraising campaigns and other special projects throughout the year.
- Assist the Director of Philanthropy with calendar management and coordination of internal and external meetings and agendas. Take notes during team and departmental meetings, accurately recording action items.
- Maintain the accuracy and integrity of the donor database, including creating and editing contacts, cleaning files, updating donor profiles, and reviewing and resolving duplicate records.
- Work with the Finance department to determine the coding for Philanthropy and Special Events gifts and resolve any issues in the data entry process.
- Assist with the creation of queries, exports, mailing lists, and reports built in NPSP for the Development department.
- Prepare fundraising acknowledgements and thank you letters for gifts of $1,000+.
- Process invoices and returned mail for the Philanthropy department.
- Assist the team with strategic donor mailings.
- Assist with prospect research requests as needed.
- Perform other department duties as assigned.
QUALIFICATIONS:
Bachelor’s degree and up to two years of experience in fundraising, development, or related field. Excellent writing, communication and relationship building skills. Strong organizational and time management skills. Must be energetic, creative, and mission-oriented, with desire to take initiative. Working knowledge of fundraising principles and practices. Excellent computer skills, including Microsoft Office, required. Knowledge of business applications, accounting principles, donor database systems and fundraising software, preferably Salesforce, a plus. Prior project management experience in Asana a plus. Keen attention to detail and the ability to manage multiple tasks. Discretion and tact in handling confidential donor information.

Salary Range: $50,000 to $55,000

This position is in the office in NYC 4 days per week. We are currently on a hybrid work schedule. Relocation assistance is not offered. Prior COVID vaccination plus one booster is required to work at amfAR.
